We are Rotterdam Ahoy, the place you associate with an experience. An experience that already starts when you visit the website, drive into the parking area or hang up your coat. And it only ends when you look at the photos of your visit to Ahoy and share them with friends or relations. The term Personal Data refers to all information that can be used to identify a natural person, either directly or indirectly. Examples of Personal Data include first names, surnames, mobile and other telephone numbers, postal and email addresses, and dates of birth.

Personal Data relates to a natural person, i.e. the person concerned (hereinafter: the 'Data Subject’). The term 'processing’ refers a.o. to the compiling, storing, use, processing, consulting and transfer of Personal Data.

When you provide your data to Rotterdam Ahoy, you agree to the terms and conditions as recorded in this Privacy Statement. Rotterdam Ahoy ensures that the processing of your Personal Data is carried out with due care, in a secure manner.

We compile and process your Personal Data on certain occasions, e.g. if you visit our website, if you register for our newsletters, if you purchase admission tickets for events organised by Rotterdam Ahoy, if you participate as an exhibitor in one of the activities organised by Rotterdam Ahoy, and if you attend our events and take part in our activities or those of our clients.

Rotterdam Ahoy processes the following Personal Data and Personal Data categories for the following purposes:

*Badge scanning

You will receive a badge when you visit an event, tradeshow or exhibition. This badge contains the data you provided when registering. Your badge serves as an electronic business card. This means that you can choose - but are in no way obliged - to have your badge scanned by an exhibitor, which can subsequently contact you with information about its products or services. By having your badge scanned, you give explicit permission to share your data with the relevant exhibitor but also to the exhibitor to contact you.

We do not intend to compile any data on visitors to our website who are aged under 16. However, we are unable to verify whether any of our visitors are aged over 16. We therefore advise parents to monitor their children’s online activities in order to avoid data being compiled on children without their parents’ consent.

Rotterdam Ahoy primarily processes Personal Data on the basis of consent and/or performance of the agreement, or a legitimate interest. Rotterdam Ahoy has a legitimate interest in processing your Personal Data by means of camera surveillance and registration of visual material for commercial or security purposes. The purpose of camera surveillance is to guarantee your safety as a visitor.

As a visitor, upon entering Rotterdam Ahoy, you will be notified of such processing by means of the House Rules www.ahoy.nl/house-rules . If you have any reasonable objections to the visual material published, please contact us at [email protected] .

We maintain a security level at all times when processing Personal Data, which must be more than sufficient - in view of the state of the art - to prevent unauthorised access to Personal Data, or amendments, publications and/or loss of such Personal Data.

We store your Personal Data for as long as is necessary to attain the objectives specified above.

In order to provide you with the best possible services and to remain competitive on the event market, we share certain data internally (i.e. with other subsidiaries / sister companies within the group (Ahoy-companies) and co-production organisers) and if necessary externally (i.e. with third parties outside Ahoy).

Service providers and other third parties:

When we use other service providers or third parties in the context of certain common business activities, we may need to share your personal data for the performance of specific tasks or processing purposes (see under 5). Insofar as these third parties process your Personal Data, they do this in the capacity of processor. We enclose a processor agreement to ensure the same level of security and confidentiality of your Personal Data by third parties. In that case, Rotterdam Ahoy remains responsible for these processing operations.

Countries outside the EEA:

When we share your personal data externally with third parties (i.e. outside Ahoy) in countries outside the European Economic Area (EEA), we always take the necessary measures to protect this data. We rely on the following measures:

• the requirements based on the applicable laws and regulations;

• EU model clauses. If applicable, we use standard clauses in agreements with service providers to ensure that the transfer of personal data to parties outside the European Economic Area complies with the GDPR.

Our website may contain links to third parties’ websites and to social media platforms. If you use a link to leave our website, please remember that we no longer have any control over the way in which the new website you are visiting  process your Personal Data and safeguards your privacy. We cannot be held responsible and/or liable for the content of these websites, nor for the way in which these websites process your Personal Data and safeguard your privacy. We advise you to consult the privacy statement issued by the website in question, or by the relevant social media platform.

We consider it important to ensure that your Personal Data is correct and up to date. Pursuant to privacy legislation, you have the following rights as a Data Subject:

• the right to peruse the Personal Data we have received from you and/or about you;
• the right to rectify the Personal Data we have received from you and/or about you;
• the right to delete the Personal Data we have received from you and/or about you;
• the right to restrict processing of the Personal Data we have received from you and/or about you;
•  the right of data portability;
• the right to lodge a complaint with the Dutch Data Protection Authority (hereinafter: 'DPA’).

If you have a complaint about the way in which we process your Personal Data, please contact us. You can send your complaint by email to [email protected] . We will endeavour to process your complaint within four weeks of receipt. If the way in which we have dealt with your complaint does not fulfil your expectations, please contact the DPA. However, we trust that this will not be the case. The  DPA monitors compliance with privacy legislation. You can always submit a complaint to the DPA.
